How Dobit saves 1 day of work with Muto 

We had a conversation with Nele & Marc Bruers, to understand how Muto has changed their way of working.

DOBIT is a Belgian SME with around 60 employees. Over the past few years, they have transitioned from owning vehicles outright to operational leasing: aiming for efficiency, cost control, and a more sustainable approach. Today, they operate a fleet of approximately 50 company vehicles, and a handful of vans purchased outright - with a growing focus on electric and hybrid options.

How did they manage their fleet before Muto? #

Fleet management relied on physical documents: paper documents, PDFs, and Excel files. In other words, a hodgepodge of sources. Tracking vehicle contracts and maintenance was largely reactive, relying on employees’ questions rather than a proactive system. There was no real overview of expiring contracts or upcoming vehicle replacements. There was information, but no cohesion. So when we heard about Muto, we immediately thought it could help us.

What challenges were they facing? #

The main challenge was the lack of one source of truth. Technically they had the documents, but everytime a request came in they had to go digging through documents. This lead to a lack of proactivity, it was almost always reactive — an employee would come ask if their car was due for replacement, and only then would we take action. Budgeting was a challenge too — if we wanted to know which cars needed replacing next year, we’d have to go digging through documents.

It was often unclear how much a vehicle was actually costing them. It was possible to dig up all the invoices, but it wasn’t a real overview. Without centralized data, decision-making was based on gut feeling. Tracking costs, mileage, or vehicle replacement schedules was time-consuming and prone to inefficiency. "If you had ten cars, it was manageable. But once you got to 30, 40, 50, it became unmanageable."

Why did you choose Muto? #

Dobit was looking for a way to centralize all their mobility data. “We felt the need to have all our data in one place.” With Muto they gained that overview of their mobility. However, a game-changer for them was how easy it was to import data from payroll provider to Muto without manual entry. “Being able to import directly from payroll was essential, it prevents data inconsistencies. That’s why it was so important. Now, we can also import data from the operational leasing providers.That’s definitely a crucial feature, because the data changes regularly and you want to keep it correct and centralized.”

What immediate benefits did Muto provide? #

“We saw advantages right away. The biggest benefit was having everything in one central place. You no longer had to argue or go searching, you could just immediately find the correct information. That efficiency was noticeable immediately.” Muto became their one source of truth for mobility (fleet) data, making it easy to track vehicle contracts, maintenance, and usage. Employees could also add notes, enhancing collaboration and providing a real-time overview of incidents or changes.

“Before, someone would go through all the documents and make a nice overview. But six months later, that data was already outdated because there was no automatic process to keep it updated. So you’d have to do the whole exercise again, and again. Now, you just go into Muto and you find it immediately. So it’s incomparable, really. The tool gives you an overview that you simply didn’t have before.”

How did your way of working change? #

They noticed an improvement in their efficiency. Before, one full workday per month was spent just searching, consolidating, and updating information. Now, they no longer spend hours manually searching for documents or tracking vehicle information. Centralized data allows for proactive fleet management, improving both efficiency and decision-making.

If previously one person spent a day a month searching for information, that time is now saved. That’s roughly €500 – 600 per month.

It has also impacted their way for working as a team. Now the overview gets richer over time, with input from the team. The system allows them to spot discrepancies, and address them right away. “Some employees are very vocal and proactive about their car situation, but others are more reserved and just hope “management will notice.” If nothing happens, it can lead to frustration — like seeing a colleague get a new car while you don’t. Now, thanks to the alerts and proactive follow-up in Muto, no one gets overlooked. That creates peace of mind.”
